Board Meeting Guidelines
When a dancer believes that his/her personal space has been violated or that he/she has been verbally sexually harassed, and that dancer complains to the Board, the Board will take action against the offender by following this Three-Strikes-You're-Out scenario:
b. The offendee complains to a board member, who then speaks to the offender (if the offendee speaks to the offender personally, the strike scenario is not invoked).
c. The offense continues.
d. The board may then inform the offender that he/she has Strike 1 (2 month suspension from HM dances)
If that entire scenario is repeated, the board then calls Strike 2 (4-6 month suspension from HM dances). If that entire scenario is again repeated, the board then calls Strike 3 (permanent ban from HM dances). (Approved February 24, 2008)
Hosts do not pay admission for the dance they host (Approved July 27, 2007)
Board must approve any host that is not a Board Member (Approved July 27, 2007)
a) Special activities sponsored by HMFS are defined as folk and traditional dance and/or related music. This might include, dance or music workshops, performances, and festivals.
b) The scope of HMFS involvement in special activities will be decided on an event basis. HMFS involvement can be classified as follows:
1) Sole organizer - HMFS is fully responsible for all aspects of the event.
c) All special activities proposed by HMFS to occur at the dance venue must be approved by the venue owner. Compensation to the owner for the use of the dance venue must be agreed on before any event is scheduled.
2) Partner - HMFS is an active participant in the event and coordinates with partner(s). Partners might include for-profit or non-profit entities or individuals, at the discretion of the Board.
3) Co-sponsor - HMFS is not an active participant in the production of the event but may choose limited involvement. This might include having one or more board members present at the event, publicizing the event, or allowing use of HMFS property or equipment.
4) Non-sponsor - HMFS may choose to have limited involvement in an event but will not be listed as partner, co-sponsor etc. in any publicity or marketing efforts.
d) Compensation, if any, to HMFS for its involvement or for use of its equipment will be decided for each event.

Callers should be prepared to lead or coordinate the beginners dance
session at 7:30, with the help of experienced dancers. We have a
flexible policy based on numbers of beginners - if the teaching is
going well with the experienced dancers, then the caller simply is a
participant/coordinator in the teaching. If, the beginners overwhelm
the number of experienced dancers, then the caller takes charge. The caller
and host can decide if direct involvement is needed. At 7:45, the
caller has the option of stepping in and leading the rest of the session,
depending on the need. The use of experienced dancers supports the
caller's instruction and gives beginners an experienced partner for the
first or second dance. (Approved December 2, 2006)*
All dances sponsored by Harvest Moon Folk Society are held in an alcohol- and drug-free environment. Smoking is not allowed in the building or on the grounds inside the white fence.(Approved August 20, 2006)
River Falls: $100 minimum up to a 5 person band; Any band larger than 5 persons will split $500. (Approved November 16,2007)
Y dance: $100 minimum up to a 3 person band; Any band larger than 3 persons will split $300. (Appoved November 16, 2007)
Maximum $200 per share
Sunday Dance - Minimum share for the band, caller and sound person - $135 per share (Approved April 22, 2007)
Advance Dances - Minimum share for the band, caller and sound person - $135 per share (Approved June 9, 2007)
Special touring bands (4 person bands) at the Y Dance - $100 minimum (Approved September 22, 2007)
1) RFL - $8 - Adults (Approved May 7, 2006)
2) RFL - $5 - Teen-agers 14-17 (Approved July 27, 2007)
3) YWCA - $8 - Adults (Approved January 5, 2008)
4) YWCA - $5 - Teen-agers 14-17 (Approved January 5, 2008)
5) Donation fee - We suggest a half price donation from non-dancers 14 and older (Approved October 1,2006)
6) Band member spouses pay to dance (Approved October 1,2006)
7) Full price for latecomers after break (Approved October 1,2006)
8) Students who are 18 or over pay the same as adults (Approved October 1,2006)
